The information below will provide you with instructions and guidelines on how to access the donations made to your classrooms.
You will be able to view your Splash-a-thon balance by clicking the link above. Balances are updated as time allows but no less frequently the end of each month, coinciding with WSF’s monthly Treasurer’s Report. Remember, your starting balance is the total amount donated to your classroom minus 15%, which WSF uses to pay for all of the processing fees, prizes, marketing, and the event. There are two ways to spend your money!
- Request that WSF make a purchase on your behalf.
- Request a reimbursement for a purchase you have made.
In either instance, the same form is used. You can access the form from the link above or by looking under your account at My Forms/Paperwork. While you can give us a heads up via email about a purchase or reimbursement, you must still complete the RFS form as it is required for our accounting purposes. Please note that we have increased the number of receipts and invoices you can include in on RFS to ten.
PLEASE NOTE:
- This year, the cutoff date to spend Splash-a-Thon funds is Monday, March 17th, 2024. We will allow up to $200 to be held past that day for the purchase of perishable items for an end of year party if you are planning one but arrangements must be made by the cutoff date. If you are planning a field trip past the cutoff date, you need to schedule it and use your funds to pay for it prior to the cutoff date.
- All items purchased with WSF funds, including Splash-a-Thon funds, are considered property of WSF per our bylaws. If the purchasing staff member leaves WES at any time, all non-consumable items purchased with WSF funds must be returned to WSF. Consumables are items that the student uses up and therefore the item cannot be used by another student. Non-consumables are items that can be used again by another student, classroom, or staff member.
